Dalecoast shares information strictly on a need-to-know basis to support project delivery and operational safety. We engage vetted service providers—including sub-contractors, engineering consultants, and secure cloud hosts—who are bound by strict contractual obligations to process data solely under our instructions.

Information may also be disclosed to statutory authorities and safety regulators when required under Commonwealth or state law. In joint venture partnerships and consortium projects, operational information is shared exclusively for site clearances, safety inductions, and field coordination.

1. Operations & Service Delivery

Processing client, subcontractor, and telemetry data to execute infrastructure projects, concrete repairs, and bridge remediations.

Retention: 7 years following project completion.

2. Safety Compliance & Quality Assurance

Verifying compliance with Australian OHS regulations, environmental standards, and structural integrity audit requirements.

Retention: 10 years per statutory requirements.

3. Stakeholder Communication

Responding to tenders, sending maintenance updates, and maintaining communication with site managers.

Retention: Duration of business relationship + 3 years.

4. Analytics & Platform Improvement

Using aggregated, anonymized usage telemetry to optimise digital portals and technical documentation workflows.

Retention: 24 months in aggregated format.

5. Security & Asset Protection

Maintaining system logs, credentials, and audit records to safeguard client data and engineering drawings.

Retention: 5 years from log creation.

6. Supply Chain Management

Managing supplier capabilities, insurance certificates, and equipment records for specialist material procurement.

Retention: Active contract term + 7 years.

Data Collection Breakdown

Dalecoast maintains clear standards of data governance across all asset maintenance and civil contracting operations. Below is a summary of the four primary data categories we collect, including their operational purpose and retention standards.

1. Personal & Contact Data

Includes full legal names, corporate email addresses, phone details, company affiliations, and digital induction signatures collected during project inquiries, site clearances, and contract administration.

Purpose & Retention: Used to verify site access and manage official communications. Retained for active contract duration plus statutory audit periods.

2. Technical & Device Telemetry

Includes IP addresses, access timestamps, browser specifications, portal session logs, and access tokens automatically generated when using our web portals.

Purpose & Retention: Used to safeguard portal cybersecurity and optimise performance. Telemetry logs are purged on a rolling 90-day cycle unless flagged for security review.

3. Operational & Safety Records

Includes site induction verifications, White Card records, high-risk licences, contractor sign-in logs, safety briefing acknowledgments, and environmental quality control logs.

Purpose & Retention: Used to adhere to Western Australian Work Health & Safety (WHS) legislation. Retained permanently in project quality assurance handovers as required.

4. Contractual & Commercial Information

Includes commercial tender submissions, rate schedules, structural inspection data, invoicing milestones, bank verification records, and compliance matrices.

Purpose & Retention: Used to execute civil contracting agreements and archive asset histories. Retained for 7 years post-project practical completion.
